Android Gmail App Setup (Flexmail)

Quick Settings Reference

Copy these exact settings - Gmail won't guess these correctly:

⚠️ Important: Use port 465 for outgoing mail, not 587


Step-by-Step Setup

1. Open Gmail App

  • Open the Gmail app on your Android device
  • If this is your first email account, you'll see "Add an email address"
  • If you already have Gmail accounts, tap your profile picture (top right) then Add another account

2. Choose Account Type

  • Select Other from the list
  • Do NOT choose "Google" or any other option

3. Enter Your Email Address

  • Type your full email address
  • Tap Next
  • When Gmail tries to automatically configure, tap Manual setup instead

4. Choose Account Type

  • Select Personal (IMAP)
  • Do not choose POP3

5. Enter Your Password

  • Type your email password
  • Tap Next

6. Incoming Server Settings

Gmail may pre-fill some settings. Change these to match exactly:

  • Username: Your full email address
  • Password: Your email password
  • Server: imap.emailarray.com
  • Port: 993
  • Security type: SSL/TLS

Tap Next

7. Outgoing Server Settings

Very important - Gmail often gets these wrong:

  • SMTP Server: smtp.emailarray.com
  • Port: 465
  • Security type: SSL/TLS
  • Require sign-in: ✓ (checked)
  • Username: Your full email address
  • Password: Your email password

Tap Next

8. Account Options

  • Sync frequency: Choose how often you want to check for new email
  • Sync Email: ✓ (checked)
  • Notify me when email arrives: ✓ (if you want notifications)

Tap Next

9. Account Name

  • Account name: Something like "Council Email" (this is just for your reference)
  • Your name: How you want your name to appear on sent emails

Tap Next to finish


Testing Your Setup

  1. Send a test email to yourself or a colleague
  2. Check it appears in your Gmail sent folder
  3. Ask someone to send you an email to test receiving

Troubleshooting Common Issues

"Can't connect to server" Error

  • Double-check incoming server: imap.emailarray.com
  • Verify port 993 and SSL/TLS are selected
  • Confirm your email password is correct
  • Try switching WiFi off and using mobile data (or vice versa)

Email Gets Stuck in Outbox

  • This is usually an outgoing server problem
  • Go to Gmail Settings > Your account name > Server settings
  • Verify outgoing server: smtp.emailarray.com
  • Critical: Check port is 465 (Gmail often defaults to 587)
  • Ensure SSL/TLS is selected for outgoing

"Authentication Failed" Error

  • Make sure username is your full email address (not just the part before @)
  • Double-check your password - try typing it in a notes app first to verify
  • Ensure both incoming and outgoing servers have the same username/password

Gmail Keeps Reverting Settings

  • Some Android versions override manual settings
  • Delete the account completely and start over
  • Make sure to tap "Manual setup" and don't let Gmail auto-configure

Can Receive But Can't Send

  • Check outgoing server settings specifically:
    • Server: smtp.emailarray.com
    • Port: 465
    • Security: SSL/TLS
    • Username: Your full email address
    • "Require sign-in" must be checked

Checking Your Settings Later

To verify or change settings after setup:

  1. Open Gmail app
  2. Tap the hamburger menu (three lines) in top left
  3. Scroll down to Settings
  4. Tap your email account name
  5. Tap Server settings
  6. Check both Incoming and Outgoing settings match the table above
