Please follow the guide below in order to setup your FlexMail account in Outlook.
If you have migrated from our Cpanel email system and already have the email setup, you can use the 'repair' option in Outlook accounts to change the mail server settings and passwords. Otherwise it is recommended to delete the account and setup as new.
Outlook
- Click on the File menu
- Click on + Add Account
- Fill in your full email address and select the option Let me set up my account manually.
- Click on Next.
- Select IMAP from the list of account types.
- Fill in server information
- Click on Next
- Incoming Mail Server is imap.emailarray.com
- Outgoing server is smtp.emailarray.com
- Fill in your existing password for your email address and click on Connect
The setup is completed. The message Account successfully added will show and Outlook will begin synchronizing the account.

⚠️ Important: Use port 465 for outgoing mail, not 587
Step-by-Step Setup
1. Start Account Setup
- Open Microsoft Outlook
- Go to File → Add Account
- Or if first time: Click Add Account on the welcome screen
2. Choose Manual Setup
- Do NOT enter your email in the initial box
- Click Advanced options at the bottom
- Check "Let me set up my account manually"
- Now enter your email address
- Click Connect
3. Choose Account Type
- Select IMAP
- Click Next
4. Enter Password
- Type your email password
- Click Connect
5. Configure Advanced Settings
Outlook will try to auto-configure. You need to change these:
- Click Change account settings
Incoming mail:
- Server:
imap.emailarray.com
- Port:
993
- Encryption method:
SSL/TLS
Outgoing mail:
- Server:
smtp.emailarray.com
- Port:
465
- Encryption method:
SSL/TLS
Click Next
6. Test Account Settings
- Outlook will test the connection
- If successful, click Done
- If it fails, double-check the server settings above
7. Finish Setup
- Your account should now appear in Outlook
- Send a test email to verify everything works
For Older Outlook Versions (2016 and earlier)
Manual Configuration Method
- File → Account Settings → Account Settings
- Click New
- Choose Manual setup or additional server types
- Select POP or IMAP
- Fill in these details:
User Information:
- Your Name: [Your name]
- Email Address: [Your full email address]
Server Information:
- Account Type: IMAP
- Incoming mail server:
imap.emailarray.com
- Outgoing mail server:
smtp.emailarray.com
Logon Information:
- User Name: [Your full email address]
- Password: [Your email password]
- Click More Settings
- Outgoing Server tab: Check "My outgoing server requires authentication"
- Advanced tab:
- Incoming server (IMAP): 993
- Use the following type of encrypted connection: SSL/TLS
- Outgoing server (SMTP): 465
- Use the following type of encrypted connection: SSL/TLS
Testing Your Setup
- Send a test email to yourself or a colleague
- Check your Sent Items folder - the email should appear there
- Try receiving an email from another account
Troubleshooting Common Issues
"Cannot connect to the server" Error
- Verify incoming server:
imap.emailarray.com
- Check port is 993 with SSL/TLS
- Confirm your email password is correct
- Try restarting Outlook and testing again
"Task '[Email] - Sending' reported error"
- Check outgoing server:
smtp.emailarray.com
- Verify port is 465 (Outlook often defaults to 587)
- Ensure SSL/TLS is selected for outgoing
- Confirm "My outgoing server requires authentication" is checked
Outlook Keeps Asking for Password
- Go to File → Account Settings → Account Settings
- Select your account and click Change
- Re-enter your password and check "Remember password"
- Verify username is your full email address
"The server you are connected to is using a security certificate"
- This warning is normal for many mail servers
- Click Yes to accept the certificate
- Check "Don't ask me about this certificate again" to avoid future prompts
Emails Not Appearing in Sent Items
- Go to File → Account Settings → Account Settings
- Select your account → Change → More Settings
- Folders tab: Check "Save sent items in the Sent Items folder on the server"
Slow Synchronization
- Right-click your email account in folder list
- Select IMAP Account Settings
- Send/Receive tab: Adjust sync frequency
- Consider unchecking large folders from sync if not needed
Authentication Errors
- Verify username is your full email address (not just the part before @)
- Check that both incoming and outgoing servers use the same credentials
- In More Settings → Outgoing Server, ensure "Use same settings as my incoming mail server" is checked
