Setting up email in Outlook Print

Webmail

Since the introduction of GDPR we now advise all council members to access their council email using webmail. For this you simply need to enter your Parish or Town council URL into a web browser proceeded by webmail (dot).

For example: webmail.anytown-pc.org.uk

From there you will be able to access your email using your email address and password. We recommend that you remove any IMAP email accounts relating to your parish council address from your devices. You can see the article that we published about this here https://parishcouncilwebsites.org.uk/ensuring-parish-councillors-email-accounts-comply-with-gdpr/

You will also find scripts and instructions for setting up email on other devices on the webmail portal should you wish to do so.

IMPORTANT  - Our servers host government websites and as such we have very strict firewall security for our clients protection. Entering the details for an email account incorrectly more than 5 times will result in your IP being banned. You can check if you've been banned by visiting your Parish/Town/Community website. If you are able to see it then you've not been banned, if you can't see it then you need to visit whatsmyip.org and email us on info@netwiseuk.com with your IP address so that we can unblock you. Remember to delete the failed email account first so that you may try the setup again. Failing to delete a misconfigured account will result in a further ban.

Outlook Settings

For IMAP account setup, enter the following mailbox and server details:

Username is the full email address

•Incoming mail server mail.yourdomainnamehere (e.g. mail.parishcouncilwebsite.org.uk)
•Incoming mail port: 993
•Encryption method: SSL
•Require logon using Secure Password Authentication (SPA): should be unchecked
•Outgoing mail server: mail.yourdomainnamehere (e.g. mail.parishcouncilwebsite.org.uk)
•Outgoing mail port: 465
•Encryption method: SSL/TLS  should be checked
•Require logon using Secure Password Authentication (SPA): should be unchecked

Email address and password should be entered for the outgoing mail server settings (if prompted for this)

We've also created a short video which you can access here https://www.youtube.com/watch?v=aIR5lqUcEDs

Outlook is consistently the most tricky email client to setup and we have recommended using Thunderbird as an alternative https://www.thunderbird.net/en-GB/
